This policy explains what personal information Sanders Design Ltd collects through this website and in the course of our work, why we collect it, and the rights you have over it. The short version: we collect very little, we sell none of it, and we only keep what we genuinely need.

What we collect and why
Enquiries
When you contact us by phone, email or through this website, we receive whatever you choose to give us, typically your name, business name, email address, phone number and the details of what you need. We use it to reply and to prepare a proposal if you ask for one. Our lawful basis is legitimate interest, and taking steps towards a contract where you have asked us to.
Client records
When we work together we hold the information a project needs: contact details, briefs, proposals, correspondence, files and invoices. Our lawful bases are the contract between us and, for financial records, our legal obligations. Invoicing records are kept for six years after the tax year they relate to, because HMRC requires it.
Website analytics
If you accept cookies on this site, we use analytics to understand which pages are read and how visitors find us, in aggregate. If you decline, no analytics cookies are set and your visit is not tracked. Either way we never see anything that identifies you personally from analytics, and we make no attempt to. Our lawful basis for analytics is your consent, which you can withdraw at any time by clearing this site’s cookies in your browser.
Server logs
Like almost every website, our hosting provider keeps standard server logs, including IP addresses and pages requested, for security and troubleshooting. These are routine, short-lived and not used to profile anyone.
What we do not do
- We do not sell or rent your information to anyone
- We do not run advertising or share your data with ad networks
- We do not send marketing you have not asked for
- We do not collect more than the work requires
Who we share data with
Only the suppliers every small business relies on to operate: our website hosting, email, file storage and accounting providers. Each processes data on our instructions under their own contractual and legal obligations. We do not pass your details to anyone else unless you ask us to, for example introducing you to a printer or photographer, or the law requires it.
AI tools
We use AI tools to help with some of our work, such as research, first drafts of copy and studio admin. We do not put your personal information, or confidential material you share with us, into public AI tools where it could be stored or used to train a model. Where AI helps with a task that involves your information, such as transcribing a call, we use tools that offer proper data protection and do not train on what we give them. How long we keep things
Enquiry correspondence that does not become a project is deleted within two years. Client project records are kept for the life of our working relationship and a reasonable period after, so we can support work we have delivered. Financial records are kept for six years, as required.
Your rights
Under UK data protection law you can ask us at any time to:
- See a copy of the personal data we hold about you
- Correct anything that is wrong or incomplete
- Delete your data, where we have no legal duty to keep it
- Restrict or object to how we use it
- Receive your data in a portable format
- Withdraw any consent you have given, such as for analytics cookies
There is no charge, and we will respond within one month. If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner’s Office at ico.org.uk, though we would rather you told us first so we can put it right.
Changes to this policy
If our practices change, this page changes first, and the date below tells you when it was last reviewed.
